This Privacy Policy explains how Receply (“Receply”, “we”, “us”) collects, uses, and protects personal data when you use our website (receply.net) and our AI receptionist service (the “Service”).

Two groups of people interact with Receply:

• Business customers — the companies that subscribe to Receply to handle their messaging.
• End customers — the people who message a business that uses Receply (for example, over WhatsApp).

For end-customer data, the subscribing business is the data controller and Receply acts as a data processor on their behalf.

2. Data we collect

• From business customers: name, email address, phone number, business details, and billing information needed to provide and bill the Service.
• From end customers (via the business’s channels): the content of messages, phone number, name, and any details shared to complete a request — such as booking dates, contacts, and preferences.
• Technical data: basic logs needed to operate the Service securely (timestamps, message metadata, error logs).

The website itself uses no advertising or tracking cookies.

3. How we use data

• To answer messages, qualify enquiries, schedule and manage bookings, and route conversations to a human when needed.
• To keep a record of conversations so the business has full transparency and can take over at any time.
• To provide, secure, maintain, and improve the Service, and to provide support.
• To process payments and comply with legal obligations.

4. Service providers we rely on

To run the Service we use trusted third-party processors, which may include: messaging platforms (e.g. WhatsApp / Meta), AI language-model providers, scheduling and storage tools, and cloud/hosting infrastructure. These providers process data only as needed to deliver the Service and under their own security commitments.

5. Data retention

We keep conversation and account data for as long as needed to provide the Service and meet legal obligations. Business customers can request deletion of their account data and their end-customer conversations, subject to legal retention requirements.

We take reasonable technical and organisational measures to protect data against unauthorised access, loss, or misuse. Customer data is kept in approved storage and is never sold.

7. Your rights

Depending on your location, you may have the right to access, correct, delete, or restrict the processing of your personal data, and to object to certain processing. End customers should contact the business they messaged; for data Receply holds directly, contact us using the details below.

8. International transfers

Some providers may process data outside your country. Where this happens, we rely on appropriate safeguards offered by those providers.
